Basic information

The Archives performs service activity connected with repossessing and storing not archival documentation (such as: personal, earnings, financial, organization, technical and insurance files) created by the companies while running their business.

The documents gathered in the Archives are available only to authorized institutions and people (e.g. former employees and their heirs for the retirement and pension purposes) within the period of time defined by law.

How to find documentation.

The employees' personal files storage period

The employees' personal files are kept only temporarily. They are damaged after the period of validity. Personal data (employment contracts, work certificates, personal questionnaires etc.) are stored for fifty years. Payment files (payment list, earnings cards and income support cards) had been stored for 12 years, from 1991 for 20 years, and from 2002 for 50 years from the moment of terminating the employment contract.

The liquidation of the company

After the liquidation of the company, the administrative receiver is obliged to protect the documentation of the shutdown company. The files can be given for a payment to the State Archives, the Polish Archivists Association, data storage companies or to the National Cooperative Council, if the liquidated company was a cooperative or cooperative organization. If a new company is created on the basis of the liquidated one, the documentation is repossessed by the new company. Employees' personal files in the State Archives According to law, the State Archives has been entitled to gather (for a payment) personal and wages documentation of liquidated companies since April 2003. The files holding procedure undergo the principles of the free market and competition with other data storage companies, which means that only a part of the liquidated companies’ files find their way to the Archives. The Archives, however, gathers information about the liquidated companies’ files storage places, in order to enable the citizen from a subordinated region, find the documents in an easier and more comfortable way. In case of the State Archives in Kalisz, it is the region of the former Kalisz Voivodeship. However, the administrative receivers do not have to inform the State Archives about the place, where they deposited the documentation. That is why the files are not complete.

How to find the personal and financial documentation?

The Archives in Kalisz stores employees' personal files. The people employed in certain companies can submit the application form in the Archives and request certificates or copies of documents. In other cases, the Archives can inform a person concerned about the files storing place (if the Archives is in possession of such information) or about the ways of searching. If the company was a subsidiary subordinated to the headquarters in Poznań or Wrocław, the information should be searched in those cities, in proper State Archives (addresses on http://www.archiwa.gov.pl). The administrative receiver’s address can be found in an Economic Court appropriate for the liquidated company.
